ETHICAL CODE OF CONDUCT PLAN Introduction The purpose of establishing a code of conduct is to define the company’s values, acceptable ethical behavior, objectives and responsibilities in line with the hierarchy of people working in the organization. By providing a well- written code of conducts, one can make the task of giving guidance to employees while faced with ethical situations easier. One cannot have a standard code of ethics. Each company has its own code of ethics that reflect its ethos, values it stand for and the style of conducting business. The size of code of conduct does not matter, what is important is whether the code covers variety of situations or not. In any case, an employee has to use how own moral judgment, which is in line with the company’s code of conduct. Essentials of code of conduct A short code of ethics which contains simple rules of ethical behavior is sufficient for providing guidance that helps all employees can follow. In the introduction, the code of ethics suggests that the actions of employees should be guided by their own values. In case something wrong is noticed, it should be addressed directly without any interruptions. A speaking-up policy is put in place that requires employees to report the moment they come across any violations of the code. This is applicable for themselves as well as others as well. The simple format of rules can be stated as provide safe working conditions, market products in a responsible manner, be fair to people you deal with, respect competitors, be fair in competition, take care of the environment, be honest in observing government rules and regulations, be loyal to your company, never leak out inside information to outsiders, be honest in keeping records of books of account. Core values The core values of the company should be respected at all times. These include integrity, respect, excellence in performance and accountability. Specific guidelines cover different probable situations and provide guidelines on how to deal with them. These include dealing with workplace violence, alcohol and harassment (sexual or otherwise). They also include areas of integrity and fairness and suggestions on how to avoid conflicts of interest and deal with steps to safeguard confidential information of company matters. One section of the code of conduct covers how to protect the assets of the company, especially when faced with cases of sabotage. The code of conduct is broken down which specifies individual areas of conduct. This code is intended to act as a guide in carrying out business interactions on a daily basis. It is to be used in combination with the main guidelines of business practices. The code covers all possible areas of interaction such as relationship with each other, with company, with consumers, with government offices and laws of the land, with members of society and lastly with the problems of environment. Relation with mission statement The code of conduct mandates that all employees follow the mission statement of the company and at the same time adhere to the compliance program and conflict of interest policy. The code of conduct essentially includes certain basic guidelines of how employees should conduct business and deal as well as manage financial and other important confidential records. Maintaining confidentiality is extremely important. One also has to be cautious of protecting property of the company, be aware of the workplace environment and ways of dealing with government. Responsibility of senior management The senior personnel working in the industry must follow a code of ethics that is defined by the company. Following ethical code is not an option but an essential part of the work responsibility. Some of the examples of senior personnel that are expected to follow are corporate officers and those dealing in administrative tasks. They may be in government, education, health care or nonprofit organizations. Nature of a Code of Ethics When a person joins an organization, it is important for him to review and understand the code of ethics being followed by it. This is where a well written code of conduct comes to help. Such a code defines morals; personal qualities that a person is expected to have and specify rules and regulations that all the employees should follow. Certain states such as Florida have a code of ethics written into the law. This must be followed in all sincerity. Violation of a code of ethics defined by government is punishable and such a code is strictly enforced by a regulatory agency appointed by government of the courts. Scope A code of ethics defines the job responsibility, especially while dealing with clients that may be one’s scope of work. In a company, a person may be involved in dealing not only with employees within the company but also with those outside it. In such a case, it is important to have a code of ethics that define how to deal with important clients. When faced with dealing with important clients, one should refer to the written code of conduct. Values When one joins an organization, he must support the values specified in the coded of conduct. If any action is done which does not reflect those values, then the person stands the risk of losing the job. To work as a responsible senior person for the company it is important to adhere to the code of business conduct, as laid down by the company. This code of conduct is based on the foundation of integrity and belief of doing what is morally right thing to do. This is true whether one is working for private business or in government service. One’s values should not only follow the code of conduct laid down by the company, but also support the mission of the company. One must respect the image and brand of the company. Or else the business would go down the drain. Behaviors of senior personnel As senior personnel working for an organization one is duty bound to use good judgment. One should adapt one’s behavior depending on the situation one is faced with. Conflicts would arise as the expectations would invariably clash with the code of conducts. These are the grey areas where one is faced with the dilemma and requires one to make a sound judgment and take a call of doing what is right. It is expected that the senior personnel should not misrepresent facts while communicating and dealing with insiders or outsiders. The behavior exhibited by seniors should be seen as an example by others who are working in the organization. The actions must indicate that one has a strong belief in the code of ethics specified by the company and indicate that one is a true representative of the profession he is involved in and also of the company. Impact of code of ethics on work practices Your company’s code of ethics coves the principles that all employees are bound to follow. These principles are meant to act as a guide for decision-making process and also act as a guide for workplace behavior. In an ideal situation, a code of ethics will have an extensive impact on the practices one follows at work place. When one follows the code of conduct at work place it has a great impact on the performance of the company. A code of conduct won’t work unless attention is paid to its proper implementation. Without a proper implementation plan, one may not be aware of what a company’s ethics code is. This is especially important for senior personnel. They must strictly adhere to the ethics code and also follow the principles outlined therein. This would have a significant impact on all the employees who are reporting to the senior personnel. Top management should provide all the logistic support for an ethics code so that it can be brought to the attention of everyone’s attention working in the company.
